How to Audit Your Commercial Property’s Winter Readiness

Most of the time, commercial property audits aren’t conducted until something goes wrong. A boiler packs it in mid-July. Over a long weekend, pipes burst. And the heating bill arrives, at which point nobody can account for the enormous spike. Winter readiness needs to be considered as a financial investment and not just another housekeeping duty that comes with facilities. Start With The Heating Plant, Not The Checklist

The most expensive winter failures are the ones that happen at peak load – when the system, having sat dormant for months, is suddenly asked to carry a full building through a cold day.

Run your boilers and heat pumps under full load in autumn, long before you need them to adjust to cold snaps. You’re hoping to see pressure drops in hydronic circuits, burner misfires, delayed ignition, or the kind of compressor behavior you know will not produce the expected increase in temperature. These symptoms are easy to spot during a controlled dry run, and expensive to detect during an emergency call-out.

For properties using heat pump systems, refer to the Coefficient of Performance data from the last service. COP degrades as the ambient temperature decreases, and a unit that works with poor efficiency in mild conditions will fail notably badly when it is cold. Audit The Thermal Envelope Before You Heat It

Don’t assume it’s OK because it’s new – sometimes insulation can be badly installed, thin, or damaged from being saturated by water ingress or other maintenance trade work. Recalibrate The BMS For Actual Winter Conditions

A Building Management System programmed for summer or shoulder-season parameters will waste energy all winter and nobody will notice until the bill arrives.

Reprogram heating setpoints to match real occupancy hours. Most BMS systems default to broad operating windows set during commissioning. If your building operates from 7am to 6pm, your heating system shouldn’t be maintaining temperature from 5am to 9pm. That gap represents real money across a full season.

Adjust outdoor air intake dampers to the minimum fresh air requirement for your occupancy levels – but don’t close them entirely. Indoor Air Quality degrades in winter when buildings run with restricted ventilation and occupants bring in more moisture and contaminants. The goal is balance, not lockdown.

Exterior Safety Is Part Of The Audit

The risk profile of commercial properties changes significantly during shorter days. Carparks, loading areas, and emergency exit paths that are perfectly visible in summer become hazard zones when staff arrive or leave in low light.

Walk the exterior of the property and audit every pathway, step, and parking surface for adequate lighting coverage. Check that emergency exit signs and pathway lighting are functioning and aimed correctly. Look at drainage around entry points – frost, ice, and wet leaf accumulation on poorly draining surfaces create slip-and-fall liability that is entirely preventable. This part of the audit takes a couple of hours and requires nothing more than a torch and a notepad.

Winter preparedness done properly is a pre-season investment that pays back across the entire heating period. The facility managers who get it right aren’t the ones with the best equipment – they’re the ones who audit early and fix problems when the cost is low.
